Org. Setting and Reporting
TThe temporary position is located within the United Nations Support Office in Haiti (UNSOH). Pursuant to Security Council resolution 2793 (2025), UNSOH has been mandated to provide support; primarily to the Gang Suppression Force (GSF), the United Nations Integrated Office in Haiti (BINUH), the Haitian National Police (HNP), and the Haitian Armed Forces in the context of any joint operations with the GSF. Additionally, UNSOH is tasked with delivering technical assistance to the Organization of American States (OAS). The Staff Assistant will be based in Port-au-Prince, Haiti. The Staff Assistant reports to the Chief Medical Officer, Medical Services Section.
Responsibilities
Within limits of delegated authority and depending on location, the Staff Assistant is responsible for the following duties: • Performs, under minimal supervision, the full range of office management and administrative support functions; provides direct assistance to the P 5 Chief Medical Officer (CMO) of UNSOH within the Medical Services Section (MSS). • Maintains liaison with the Head of Mission (HoM), Director of Mission Support (DMS), Chief Services Delivery Pillar (CSD), and other senior officials on programmes and administrative matters; monitors processes and schedules related to UNSOH outputs, products, and tasks relevant to the MSS and health related operations. • Supports the Chief Medical Officer in technical coordination with DHMOSH, the Medical Support Section at UNHQ and external health authorities on technical and medical logistical matters. • Coordinates communication and logistics between the Medical Services Section and mission support entities to ensure continuity and effectiveness of health services delivery. • Ensures smooth and efficient information flow within the section, prepares and processes confidential information in accordance with stringent confidentiality requirements applicable to medical, personnel, and operational information; assists in the development of administrative systems and procedures supporting medical operations. • Researches, compiles, and summarizes background materials for use in preparation of reports, briefs, speeches, and correspondence related to MSS activities and mission health priorities. • Provides assistance in the coordination of service wide activities (meetings, training, etc.), special projects, and events within the MSS. • Orients new staff to relevant administrative procedures and practices and provides general assistance to other office support staff, as required; may coordinate the work of office support staff supporting medical and clinical teams. • Attends meetings, prepares minutes, and monitors follow up activities related to medical, health, or operational coordination matters. • Responds or drafts responses to a wide range of correspondence and other communications; uses standard word processing software to produce large, complex documents and reports for medical management and mission reporting purposes. • Manages, updates, and further develops internal databases; generates standard and non standard statistical and other reports relevant to medical administration, staffing, logistics, or planning. • Carries out quality control functions for outgoing documents; proofreads and edits texts for adherence to format, grammar, punctuation, and style prior to submission to senior medical management. • Responds to complex information requests and inquiries (e.g. answers requests requiring file search, etc.) related to medical services and mission health operations. • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff within and outside the Medical Services Section. • Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, travel requests, expense claims, vouchers, visa applications, etc.), supporting the effective functioning of the Chief Medical Officer and the Medical Services Section. • Performs other duties as assigned.

Work Experience
At least five (5) years of experience in general office support or related area is required. The minimum years of relevant experience is reduced to three (3) for candidates who possess a first level university degree or higher. One year of experience supporting a senior official is desirable. One year of experience in the United Nations Common System or similar international organization is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For this job opening, English and French are required. Spanish is desirable.
