Duties and Responsibilities

The incumbent is responsible for the completion of a variety of specialized activities enabling the efficient operations of the transportation/vehicle fleet in line with UN Rules and Regulations, as well with the Surface Transport Manual. • Manages and coordinates preventive maintenance, corrective repairs, bodywork, painting, and specialized servicing of the multi-type UN fleet across multiple contracted workshops and locations. • Issues and tracks Service Request Orders in accordance with contractual provisions and ensures timely execution of scheduled maintenance activities. • Monitors the quality and compliance of mechanical, electrical, and body repairs performed by vendors to ensure adherence to UN standards and contractual requirements. • Prepares, verifies, and processes Damage Discrepancy Reports (DDR) for all vehicle-related incidents, ensuring accuracy, completeness, and alignment with UN financial and audit requirements. • Conducts preliminary assessments of damages based on incident reports, photographic evidence, and field inputs, and liaises with maintenance contractors to obtain cost estimates for spare parts and labour. • Monitors and follows up on DDR cases to ensure timely repair actions, minimize vehicle downtime, and maintain fleet operational readiness, while ensuring proper documentation and traceability for audit and compliance purposes. • Performs Electronic Vehicle Monitoring (EVM) functions and supports fleet performance tracking, utilization monitoring, and compliance oversight. • Maintains complete and accurate records of maintenance activities, service history, insurance documentation, inspections, and related fleet transactions. • Ensures validity and timely renewal of vehicle insurance, techno-mechanical inspections, fire extinguishers, and other mandatory compliance documentation. • Coordinates accident follow-up actions including insurance processing, repair coordination, and vehicle recovery when required. • Monitors vendor contractual performance and supports verification of maintenance-related invoices prior to processing. • Supports implementation and assessment of Transport Unit road safety awareness initiatives and campaigns. • Provides technical support for driver testing processes for mission personnel when required. • Prepares technical correspondence, maintenance status updates, and operational reports as required. • Provides backup support to dispatch operations during peak workload periods or staff absences. • Performs other related transport support duties as assigned by the supervisor.

Qualifications/special skills

High school diploma or equivalent is required. A minimum of five (5) years of progressively responsible experience in transport operations, fleet management, or a related area is required. Experience in fleet maintenance, road safety awareness activities and the management of Electronic Vehicle Monitoring Systems (EVMS) is desirable. Experience conducting driving tests and examinations as an instructor is desirable. A valid driving license with a safe driving record is required. A technical or professional certification in transport duties and/or transport operations is an asset/desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For this position, fluency in Spanish is required, and knowledge of English is desirable.
