Result of Service

The Project Assistant will be working on full time basis. Monthly progress reports are required, summarizing activities, outputs, and contributions. • Summary of activities undertaken (administrative, logistical, financial review and other tasks). • Progress against assigned deliverables and timelines. • Challenges encountered and proposed follow-up actions. • Recommendations or lessons learned to improve implementation efficiency. Duration: June – November 2026 (full-time) 1. Administrative & Procurement Support (Monthly) o 5–10 documents prepared per month (ToRs, quotations, contracts) o 100% of procurement files complete and properly filed o Documents delivered within 5 working days 2. Event & Activity Support (Ongoing) o 100% of project events supported logistically o Attendance lists completed for all events o Event reports submitted within 5 working days 3. Grants & Financial Support (Monthly) o 100% of grantee reports reviewed within 7 days o Missing documents flagged within 3 days o Grant tracking tool regularly updated 4. Documentation & Coordination (Ongoing) o Meeting notes completed within 3 working days o ≥90% of stakeholder queries answered within 2 days o Filing system updated weekly 5. Monthly Progress Reports (End of each month) o 6 reports submitted on time o Each report includes outputs, challenges, and 1–2 recommendations 6. Duties and Responsibilities

The International Trade Centre (ITC) assists developing and transition economy countries in taking advantage of expanding trade opportunities in an increasingly complex global environment. ITC promotes Trade Impact for Good by advancing sustainable and inclusive development through trade. ITC places a premium on ensuring that trade supports the economic empowerment of underrepresented groups, recognizing that inclusion is essential to achieving economic, social and environmental development objectives. The Women, Youth and Vulnerable Communities (WYVC) Section delivers on its mandate by improving the trade policy and regulatory environment in which underrepresented people operate; strengthening the institutional framework of trade-related support available to them; enhancing their capacity and competitiveness; making markets more accessible to underrepresented and vulnerable groups; providing thought leadership and advocacy to ensure that value chains, the business environment and the trading system are more inclusive and act as catalysts for equitable growth; and mainstreaming inclusivity across all ITC projects and solutions. Implemented over a four-year period from June 2024 to 2028, the ‘Sierra Leone: Empowering youth through digital technologies’ (READY Salone) project has the overall objective of contributing to economic growth and job creation in Sierra Leone by enhancing the participation of youth in the digital economy. To achieve this, the project will: • Increase the capacity of youth to use digital technologies for work, entrepreneurship and social inclusion; • Enhance the competitiveness of young entrepreneurs through the adoption of digital technologies; • Improve youth-specific service offerings of business support organizations and tech hubs; • Strengthen the inclusive national strategies and policies related to the digital economy For administrative needs, the project seeks to engage a Project Assistant to support project implementation. Description of Duties and Responsibilities • Perform general administrative tasks (e.g., preparing ToRs, identifying vendors, obtaining and reviewing quotations and invoices). • Provide logistical support to project activities, events, and training programmes (DSA rosters, attendance forms, printing, distribution and collection of evaluation forms). • Support preparation of activity documents (meeting notes, attendance lists, event reports). • Support the review and verification of grantee financial reports to ensure accuracy, completeness, and compliance with project guidelines and donor requirements. • Assist in preparing, tracking, and maintaining grant agreements and MOUs, ensuring proper documentation, version control, and timely follow-up on approvals and amendments. • Coordinate with grantees to collect supporting financial documentation (invoices, receipts, expenditure reports) and flag discrepancies or missing information for further review. • Provide general office assistance and respond to queries from stakeholders and beneficiaries. • Photocopy documents and deliver urgent mail/messages. • Undertake other ad-hoc administrative duties as assigned. Copyright Clause: The consultant has to ensure that she/he has obtained the necessary permissions with regard to intellectual property rights required to perform his/her services under this consultancy contract and for the subsequent dissemination by ITC in any form. Documentary proof is to be submitted to ITC. Should any license fee be due for the use of copyrighted materials of third parties, the consultant shall request the prior written permission from ITC. Qualifications/special skills

Undergraduate degree (BA/BSc or equivalent) in administration, management, accounting, economics, law, or a related field is an advantage. Extensive relevant experience may be accepted in lieu of a university degree. • Minimum 3 year of experience in administration, event logistics, procurement, project implementation or coordination of activities • Experience with international development agencies, NGOs, or UN projects is an advantage. • Proven experience organizing field activities, trainings, workshops, or stakeholder events. • Familiarity with procurement processes (quotations, invoices, documentation) Skills • Ability to coordinate with various partners and stakeholders. • High motivation and commitment to project deliverables. • Proficiency in MS Office applications (Word and Excel). • Excellent oral and written English communication skills.
