Duties and Responsibilities
The intern will be based within the Common Administrative Platform at United Nations Headquarters, referred to as the One Executive Office ("One EO"), under the Division of Administration in the Department of Operational Support (DOS). One EO began its transition phase on 1 January 2026 as part of the UN80 reform initiative, which aims to streamline and consolidate common administrative functions across Secretariat entities into unified service platforms. In this role, the intern will specifically support the Human Resources (HR) Working Group tasked with streamlining HR service delivery, standardizing workflows, and recommending automation and digitization of HR processes. One EO provides the full range of administrative and operational services to New York–based Secretariat client entities covering areas such as human resources management, financial administration, travel, and general administrative support. The intern will work under the supervision of a Project Lead or Senior Human Resources Officer. The intern will gain hands-on experience in two or more of the following areas: A. HR Process Design and Workflow Standardization 1. Support the development and documentation of standardized HR workflows aligned with validated Standard Operating Procedures (SOPs). 2. Contribute to simplifying and harmonizing HR processes across the following functional areas: talent sourcing and recruitment, Staff administration, non-staff 3. Assist in mapping current processes, identifying inefficiencies, and proposing fit-for-purpose improvements. B. Guideline Design for Operational Setup 1. Support the creation of operational guidelines for the new setup. 2. Contribute to defining coordinated workflows across the various desks within the CAP structure. 3. Assist in drafting service models, and role definitions to ensure clarity, efficiency, and accountability. C. HR Reporting Tools, Dashboards, and Apps 1. Recommend and contribute to the design of HR reporting tools, including dashboards and planning instruments that enhance visibility and support data-driven decision-making. 2. Assist in identifying key performance indicators (KPIs) and relevant data sources for workforce planning and HR service delivery. 3. Support testing and refining prototypes using Office 365 apps, Power BI, or other analytical tools such as those used for Client Relationship Management. D. Talent Management and Development Support 1. Assist in designing and implementing learning plans including training materials based on skill mapping exercises. 2. Support the coordination and delivery of training sessions. E. Communications and Change Management 1. Support the planning and dissemination of communication products related to HR initiatives and process improvements. 2. Use Office 365 applications and other tools to help prepare agendas, materials, and logistical arrangements for internal engagement activities. F. Additional Opportunities 1. Collaborate with various teams across DOS to support cross-functional HR initiatives. 2. Propose innovative solutions to enhance efficiency, service quality, or team effectiveness. 3. Assist in designing, updating, and maintaining internal records, databases, and SharePoint repositories, ensuring accuracy and confidentiality. 4. Perform other duties as required. Qualifications/special skills
Applicants must meet one of the following requirements: (a) be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher); (b) be enrolled in, or have completed, the final academic year of a first university degree programme (minimum bachelor’s degree or equivalent). Educational background or exposure to human resources, psychology, education, public administration or related issues is desirable. Applicants should have good knowledge of standard software applications, especially MS Word, MS PowerPoint, and MS Excel. Ability to use content authoring software (Articulate 360, HP5, etc.), synchronous learning tools (MS Teams, Zoom, etc.), learning platforms (Moodle, Totara, etc.), data analytic tools (Power BI, SQL, Python) and media design software (Adobe CC, Canva, etc.) is desirable. Applicants to the UN Internship Programme are not required to have professional work experience. However, a field of study that is closely related to the type of internship being applied for is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required.
