Output 1: by 31 March 2026 - Metadata cleaning and enhancement has been completed for at least 500 digitized videos, including completed description and transcription fields, removing all metadata field discrepancies, standardizing date fields, etc. - New incoming photo and video assets have been renamed to meet file naming conventions, ingested into the Photo and Video Database(s), enhanced with additional metadata and properly organized. - AV Project SharePoint site has been fully reviewed and updated; all outdated files have been deleted, archived, or updated. - Digitized videos on OneDrive have been (re)mapped to the physical assets (videos) in the AV Collection, with unique identifiers connecting them. Output 2: by 30 April 2026 - Metadata cleaning and enhancement has been completed for at least 500 digitized videos, including completed description and transcription fields, removing all metadata field discrepancies, standardizing date fields, etc. - New incoming photo and video assets have been renamed to meet file naming conventions, ingested into the Photo and Video Database(s), enhanced with additional metadata and properly organized. - Low-resolution photos have been upscaled to higher-resolution images and low-res files removed from CKMS databases and storage drives. - A functional method of migrating photo files with their metadata has been tested, evaluated, and if successful implemented to remigrate the photo database back to an accessible online location (SharePoint, OneDrive, etc…) Output 3: by 31 May 2026 - Metadata cleaning and enhancement has been completed for all remaining digitized videos, including completed description and transcription fields, removing all metadata field discrepancies, standardizing date fields, etc… - New incoming photo and video assets have been renamed to meet file naming conventions, ingested into the Photo and Video Database(s), enhanced with additional metadata and properly organized. - A checksum has been run on both the video and photo collections, and plan for systematic data integrity verification drafted and approved by CKMS. - Historic video digitization has been completed. - Semi-annual AV Asset Review has been coordinated and facilitated for the Communications team and any curated assets not already migrated have been renamed to meet file naming conventions, ingested into the Photo and Video Database(s), enhanced with additional metadata and properly organized. Amendment Output 3: by 31 May 2026 - Metadata cleaning and enhancement has been completed for at least 200 digitized videos, including completed description and transcription fields, removing all metadata field discrepancies, standardizing date fields, etc. -AV Storage and system assessments have been conducted and provided to ITS for their development of a DAM solution for ESCAP AV Assets. -Research support for the ESCAP Gallery Project has begun and available assets have been identified and presented. -CKMS Photography & Videography Guidelines have been reviewed for standardization, comprehension and quality control. - Support provided for photographing new ESCAP Heritage Gifts and Artworks. Output 4: by 30 June 2026 - Metadata cleaning and enhancement has been completed for at least 250 digitized videos, including completed description and transcription fields, removing all metadata field discrepancies, standardizing date fields, etc. -Research support for the ESCAP Gallery Project has continued and additional assets have been identified, presented and organized. -CKMS Photography & Videography Guidelines have been revised to reflect current workflows and standards in collaboration with CKMS colleagues. -ITS-developed DAM has been discussed and evaluated with CKMS colleagues, including cost implications and functional requirements, and a decision made on whether to move forward or continue with SharePoint. Duties and Responsibilities

Under the supervision of the Librarian, and in collaboration with colleagues from the Communications and Repository teams, the contractor will carry out the following: - Improve the organization and management of the CKMS photo and video databases and storage, file organization, and training practices. - Review, update and improve AV file organization, curation and archiving policies, procedures, training manuals and related documentation. - Coordinate AV digitization and archiving work, including enhancing metadata to the assets according to established policies, generating transcriptions for digitized audio and files, upscaling the quality of low-resolution photos, verifying the integrity of the data and files, and digitizing remaining historic assets. - Support the design and implementation of a systematic curation workflow for multimedia assets to ensure proper archiving and preservation of only the most valuable and relevant assets to the current ESCAP work programme. - Coordinate with the Communications team to ensure that newly curated AV assets are managed according to the workflows agreed upon, including metadata embedding and enhancement, standardized filenames, and proper uploading on the photo and video databases, repository and additional storage drives. - Provide relevant staff with training and on-going support on digitization and metadata creation, according to the established institutional policies and agreed-upon workflow. - Explore options for uploading additional multimedia assets to the ESCAP Repository and/or including adding multimedia to existing collections and/or creating new collections. - Act as point of contact for internal requests for historic AV content. - Assist with any additional digitization, metadata enhancement, and archive and preservation policy tasks, as requested. - Perform other duties as assigned. *All materials and content developed during the consultancy service remain the property of ESCAP. The contractor will not be recognized within the work produced.

Qualifications/special skills

First-level university degree in library science, information or records management, information technology or related area is required. Demonstrated experience with metadata management of multimedia assets or closely related work, preferably in the context of an international organization/s.

Languages

Fluency in English is required. Knowledge of another UN official language is an advantage.
