Office/Unit/Project Description
The United Nations Campus in Bonn is home to 27 UN organizations, agencies, and convention secretariats, collectively referred to as UN Bonn. The Common Services Unit (CSU) is responsible for joint management of premises, safety and security, mailroom and logistics, host country liaison and conference support services. CSU operates under the United Nations Volunteers (UNV) programme and is funded by all UN agencies present in Bonn.
Reporting to the Campus Operations Associate, the Mailroom & Logistics Support Clerk provides operational support to CSU, with a primary focus on mailroom and logistics operations, and additional support to the UN Bonn merchandise shop and other activities as required.
Scope of Work
- Provision of mailroom and pouch services: Receive, register, sort and distribute incoming mail and shipments; process outgoing shipments; maintain records; coordinate delivery and liaise with service.
- Provision of logistics and operational support: Support receipt, storage and movement of goods; assist in logistics operations and security screening; operate logistics equipment in line with safety standards.
- Physical handling and operational duties: Perform regular physical work including lifting, carrying, loading/unloading and movement of parcels and equipment; ensure safe handling practices.
- Administrative and reporting support: Maintain logs, tracking systems and support cost recovery and reporting processes.
- Support to UN Bonn merchandise shop: Assist with stock handling, inventory management, shipment and basic sales-related logistics.
- Optional and surge support: Provide support to events, conferences and other CSU functions and undertake additional duties as required.
The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.

Cross-Functional & Technical competencies
Management of Shipments:
- Knowledge of regulatory frameworks and processes related to management of shipments, including contracting of shipments for staff members who travel on initial appointment, reassignment and repatriation.
Documents and records management:
- Overall document (hard or electronic) management; registry and retention policy including storing and archiving.
Registry & correspondence management:
- Ability to collect, register, maintain and deliver mail and UNDP pouch; ability to manage archives
Customer Satisfaction / Client Service:
- Ability Ability to respond timely and appropriately with a sense of urgency, provide consistent solutions, and deliver timely and quality results and/or solutions to fulfil and understand the real customers' needs. - Secondary education
- Minimum of 4 years (with high school diploma) or 1 year (with bachelor’s degree) of practical and relevant experience.
- Experience Experience in ONE of the following four areas:
- Mailroom and Logistics: Handling, receiving and distributing mail and deliveries, mail registration and tracking systems, moving and stocking supplies, warehouse work;
- Administration: Experience in finance or office administration;
- Sales and Customer Service: Sales experience in Retail or other contexts, handling of stocks and cashier systems, direct interaction with customers or suppliers;
- Skilled Trades and manual work.
- Ability to handle standard software applications such as Microsoft word/excel and outlook
- Ability and willingness to perform physical work including lifting/moving items such as parcels, packages and equipment.
- Willingness to learn to operate a forklift
- Mailroom operations experience is desired
- Logistics, physical moves or courier service experience is desired
- Administration experience is desired
- Warehouse operations experience is desired
- Experience with Manual Work, Repairs, Skilled Trades or similar is desired
- Customer Service Experience is desired
Certifications
- Existing Forklift certification is an asset
Language Requirements:
- Fluency in English required.
- Fluency in German is an asset.
