The Food and Agriculture Organization of the United Nations Partnership and Liaison Office (FAO PLO) in the Republic of Korea (ROK) was officially opened on 13 May 2019. The FAO PLO in ROK provides its full commitment and support for stronger country participation in FAO’s strategic framework and programme and enhancement of partnership and cooperation at primarily national, and also local, regional, interregional and global levels.

The FAO PLO in ROK communicates and cooperates with all FAO HQs divisions/offices and sub-regional and country offices, the Government agencies and all other partners in ROK, including the UN agencies, academies, and institutions, the private sector, and others in the service of FAO’s mandates and work.

The post is located in the FAO PLO in ROK, Seoul, ROK.

Under the overall guidance of the FAO Representative (FAOR) and the Director of FAO PLO in ROK, the administrative support assistant shall receive administrative and technical guidance from the Office Assistant. The incumbent shall report to the Office Assistant, and the FAOR and Director of FAO PLO in ROK as appropriate.

Assist in administrative, operational, and coordination tasks to ensure the smooth functioning of office operations, including documentation management, meeting coordination, correspondence handling, and support to administrative and management processes in line with FAO rules and procedures.

Tasks and responsibilities

Tasks and responsibilities

•    Assist in providing general administrative and office support services, including document processing, filing, and maintaining records in line with FAO standards and procedures. 
•    Support the organization and coordination of meetings, workshops, and events, including logistical arrangements, preparation of materials, and follow-up actions. 
•    Support administrative processes such as procurement follow-up, financial reports, travel arrangements, and coordination with relevant units for smooth office operations. 
•    Provide administrative support including hiring process for hiring national and international affiliate workforce, contract extensions, and requests for temporary staff, leave and attendance recording.
•    Assist in compiling and organizing data and background materials for reports, briefs, and internal documentation. 
•    Assist in providing general logistical and coordination support to office staff and assist in day-to-day operational needs of the office. 
•    Assist in managing and keeping records of office assets and vehicle.
•    Perform other related duties as required.

Minimum Requirements

•    Secondary School Education 
•    A minimum of one (1) year of relevant experience in administrative, office, or management support work 
•    Working knowledge (proficiency – level C) of English
•    Working knowledge (proficiency – level C) of Korean 
•    National of the Republic of Korea or resident in ROK with valid work permit.

•    Good knowledge of communication and documentation standards.

•    Very good knowledge of MS Office applications, Internet and office technology equipment.
•    Holding of a driver’s licence is an asset.
