Job Purpose:

Under the supervision of the logistics associate, the incumbent will be responsible for implementing well-defined standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities. The role includes

supporting smooth and efficient communication with HQ to ensure international shipments are received and cleared without delays. The incumbent is also responsible for tracking shipments and ensuring they reach the final assigned destinations from the point of discharge. Duties include but are not limited to: 

  • Coordinating with partners and internal stakeholders to receive, compile, consolidate and allocate dispatches.
  • Coordinating vessel arrivals and departures.
  • Allocating resources such as transport vehicles, port personnel for cargo handling operations.
  • Supervising cargo loading and unloading processes, and ensuring compliance with safety standards and customer requirements.
  • Handling cargo transfers to storage or transportation.
  • Ensuring smooth coordination of vessel schedules, docking, and documentation, etc.    

Key Responsibilities (not all-inclusive, nor exhaustive):

The incumbent will provide specialized support to logistics operations and related activities, following standard processes and contributing, directly or indirectly, to the effective delivery of food assistance to beneficiaries.

1. Provide support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of food assistance to beneficiaries.

2. Support timely ordering and delivery of commodities and supplies to authorised partners and destinations.

3. Support management of logistics vendors’ contracting activities including performance monitoring and measurement.

4. Respond to a variety of technical queries/requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries with a high standard of client service mind-set.

5. Contribute to budget preparation, monitoring and revision for all delivery modalities, ensuring adherence to relevant procedures and in compliance with corporate standards.

6. Assist in monitoring inventory management processes to track trends and account for the inventory status from source to beneficiary.

7. Assist in management of commodity accounting data quality and integrity.

8. Support operational pipeline analyses, assessments and operational planning for all delivery modalities.

9. Process documentation for execution of logistics operations (e.g. customs clearance, invoice verification), take appropriate actions to resolve operational issues escalating various issues to the supervisor.

10. Collect and compile data, produce and/or contribute to reports (e.g. CCTI, SPRs, financial closure, physical inventory, transport performance) and ensure information accuracy in corporate systems in support to informed decision-making.

11. Liaise with internal and limited number of external stakeholders to support efficient logistics operations management.

12. Provide guidance to other support staff, in order to assist them in completing standard tasks to agreed standards and deadlines.

13. Perform other related duties, as required.

STANDARD MINIMUM ACADEMIC QUALIFICATIONS:

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Experience: At least 5 years’ experience in logistics services preferably operations and shipping.

Language: Fluency in both oral and written communication in English and Arabic. Knowledge of French language is an added advantage.

Required Skills and Knowledge:

  • Effective communication and coordination abilities: Skilled in liaising with transport companies and shipping agents to support efficient logistics operations.
  • Coordination of logistics cargo and dispatches/ deliveries
  • Knowledge of logistics and supply chain management: Solid understanding of port operations, cargo handling, and multimodal delivery systems.
  • Understanding of customs regulations and liaising with contracted service providers to identify and stay informed about new custom rules.
  • Incident management and risk mitigation skills: Ability to address cargo damage or delays, document incidents, and escalate issues through appropriate channels.

Desired Skills and Knowledge:

  • Experience with logistics systems: Proficiency in corporate systems for dispatch tracking and reporting.
  • Emergency preparedness and contingency planning: Familiarity with Logistics Capacity Assessments and contingency frameworks.
  • Data management and reporting proficiency: Skilled in compiling dispatch reports, statistics, and corridor performance analyses.
  • Technical proficiency in MS Office and Excel: For preparing reports, monitoring budgets, and analyzing operational data.
