Logistics Assistant, G5, Cox's Bazar
BACKGROUND AND PURPOSE OF THE ASSIGNMENT
This position is based WFP Cox’s Bazar/Warehouses. Job holders report to the logistics officer or the designate. At this level, job holders are expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices for all assistance modalities for both WFP and logistics common services. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff. The job purpose is to implement well-defined standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities.
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
Under the overall supervision of a logistics Officer, and/or his/her designated, the Logistics Assistant will undertake the following duties.
1. Provide support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of food assistance to beneficiaries.
2. Support timely ordering and delivery of commodities and supplies to authorized partners and destinations.
3. Support management of logistics vendors’ contracting activities including performance monitoring and measurement.
4. Respond to a variety of technical queries/requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries with a high standard of client service mind-set.
5. Assist in monitoring inventory management processes to track trends and account for the inventory status from source to beneficiary and management of commodity accounting data quality and integrity.
6. Process documentation for execution of logistics operations (e.g. PO issuance, Supplier communication invoice verification), take appropriate actions to resolve operational issues escalating various issues to the supervisor.
7. Collect and compile data, produce and/or contribute to reports (e.g.CP Stock Report financial closure, physical inventory, transport performance) and ensure information accuracy in
corporate systems in support to informed decision-making.
8. Perform the responsibility of storekeeper in warehouses in absence of regular storekeepers or during emergency.
9. Monitor condition of the warehouse and commodities and take appropriate actions, to support efficient warehouse space-planning and well-organized commodity storage following WFP warehouse standards.
10. Provide guidance and on-the-job training to partners warehouse staff including causal labours to contribute to their development and high performance.
11. Inspect cooperating partners' warehouses and commodities, offering guidance on efficient space utilization and storage practices that align with WFP warehouse standards.
12. Collaborate with internal and external stakeholders, including C&F agents, government authorities, transporters, cooperating and retail partners, to support logistics operations and enhance service delivery.
13. Act as CP Stock management tools focal points and respond to all queries from partner organization about the stock management tools.
14. Act a focal point for Supply Chain asset management including PCAR.
15. Perform any other tasks as assigned.
QUALIFICATIONS AND EXPERIENCE:
Education: Completion of University Degree (bachelor's or equivalent) is required. Education in Supply Chain, Economics, Commerce, Business Administration, Law or Accounting or any relevant field is preferable.
Experience: At least 5 years of relevant experience in the relevant field including Commodity Handling /Warehousing, Transport Contracting & Supplier Management
Language: Fluency in spoken and written both in English and Bangla language.

DESIRED EXPERIENCES AND QUALIFICATIONS
A certificate in the related functional area (Supply chain, etc.) with additional years of related work experience and/or trainings/courses is desirable.
Experience using corporate systems to monitor ongoing shipments, pipeline information, insurance claims, and food stock.
Experience analyzing data (on commodities, funds, etc.) and drafting reports.
Experience in measuring service providers’ performance against set KPIs.
Experience in assisting the preparation of contract documentation.
Experience in providing technical business support in corporate systems.
Experience leading a small team of national staff, casual labor and 3rd party service providers
Familiarity with the context of refugee emergency.
Experience in managing warehouses with food and NFIs.
Demonstrated competence in use of basic mobile application, spreadsheets, data presentation and reporting skills.
